Quick answer

A cover letter for a visit visa is a one-page letter from the applicant explaining who they are, why they are travelling, who pays and why they will return. The UK, Schengen and Canada do not list it as a mandatory document for Pakistani visitors, though some embassy checklists ask for one. It helps explain the file, but cannot replace evidence or guarantee a visa.

In this guideShow

Almost every visa checklist shared on WhatsApp groups includes a "cover letter". Many applicants spend hours on it, while the documents that actually decide the case get less attention. This guide explains what a cover letter for a visit visa really does, when it is worth writing, and how to write one that helps.

It is written for Pakistani applicants preparing a UK, Schengen, Canada or similar visitor visa file. By the end, you will know whether the embassy you are applying to expects one, what it can and cannot achieve, what to include, and how to explain tricky points honestly. There is a template to adapt.

Do you need a cover letter for a visit visa?

Usually it is optional, not mandatory. Here is what the official checklists say, as of October 2026:

Destination Is a cover letter on the official list? What is listed instead
UK No. The UKVI guide to supporting documents does not mention one Evidence of circumstances, funds, sponsor, and invitation letters for business events
Schengen No. The EU's harmonised list of supporting documents for applicants in Pakistan (Commission Implementing Decision C(2018) 6863, Annex III) does not include one Employer's letter, bank statements, NTN, FBR returns, FRC, sponsorship or invitation
Canada Not as a fixed requirement. The IRCC Portal gives you a personal document list after you answer the questions Documents based on your answers; a host's letter of invitation if visiting someone

Two caveats. First, some individual embassies add their own items on top of these lists, so always check the checklist for the exact embassy or visa centre you are applying through. Second, "optional" does not mean useless. A good cover letter can make a complicated file easier to follow.

For US visitor visas, the interview carries most of the weight. In our experience, consular officers rarely ask to read letters, so preparing for the conversation matters more. Our US visa interview guide covers that.

What a cover letter can do

Used well, a cover letter:

  • summarises your trip in one place: purpose, dates, places, who pays
  • connects the documents, so the caseworker can see how the salary letter, bank statement and invitation fit together
  • explains anything unusual before it raises a doubt: a large deposit, a recent job change, a gap in employment, a previous refusal, a lost passport
  • shows your reasons to return, pointing to the evidence that proves them

The Home Office's Visit caseworker guidance says supporting documents should back up the statements on the application form, and that declared income, large deposits and family support should match the evidence. A cover letter is your chance to make those connections clear.

What a cover letter can't do

This is where many applicants go wrong.

  • It is not evidence. Saying "I have strong ties to Pakistan" proves nothing. The employer letter, property papers and family details prove it.
  • It cannot replace a missing document. If the checklist asks for six months of bank statements, a letter explaining why you have three does not fill the gap.
  • Promises are not guarantees. The same Home Office guidance says caseworkers must not ask for or accept a written guarantee from the applicant about how long they will stay. "I promise to return" adds nothing.
  • It can hurt you. If the letter says one thing and the form or documents say another, that is a discrepancy. The Czech embassy's Schengen checklist for Pakistan, for example, states that arrival and departure dates on the form must be identical to those in all supporting documents.
  • It cannot change the rules. If the trip's real purpose is not allowed on a visit visa, such as working, no wording will make it acceptable.

What to include in a visit visa cover letter

Keep it to one page, in this order:

  1. Your details: full name, passport number, CNIC, address and phone.
  2. The request: the visa type, number of entries and the exact dates.
  3. Purpose of the trip: specific and honest. "To attend my cousin's wedding in Manchester on 14 August" beats "tourism and family visit".
  4. Itinerary: where you will stay and roughly what you will do, especially for multi-country trips on a Schengen visa from Pakistan.
  5. Your work or business: role, employer or business, how long, approved leave dates.
  6. Funding: who pays for what, and where the money comes from.
  7. Ties and return: job, business, family, studies or property that bring you back, with the return date.
  8. Anything that needs explaining: in one or two factual sentences each.
  9. Enclosures: a short list of the main documents attached.
  10. Signature and date.

Cover letter template (example to adapt)

This is an example only. Replace every bracket with your real details, delete what does not apply, and never include anything you cannot prove.

[Your full name] [Address, city, Pakistan] Passport: [number] | CNIC: [number] [Phone] | [Email]

[Date]

To: The Visa Officer, [Embassy / High Commission / UK Visas and Immigration]

Subject: [Visa type] application for travel from [date] to [date]

I am applying for a [visa type] to visit [country/cities] from [arrival date] to [departure date] for [specific purpose].

Purpose and plans. [Two or three sentences: what you will do, where you will stay, who you will meet. If visiting someone, their name and relationship.]

My work. I have worked as a [job title] at [employer] since [month, year], earning [monthly salary] a month. My employer has approved leave from [date] to [date], as confirmed in the enclosed letter. [Or: I run (business), registered in (year), NTN (number). The business will continue under (who) while I am away.]

Funding. [I will pay for the trip from my savings and salary, shown in the enclosed bank statements.] [Or: My (relationship) in (country), (name), will cover (what), as set out in the enclosed sponsorship letter.]

Return to Pakistan. I will return on [date] to [your real reasons: job, business, family, studies]. [If true and relevant: I have previously travelled to (countries) in (years) and returned on time.]

[Only if needed] Additional information. [One factual paragraph explaining, for example, a large deposit, a recent job change, or what has changed since a previous refusal.]

Enclosed: [list of main documents].

Yours faithfully, [Signature] [Full name]

If someone in the destination country is hosting or paying, they should write their own letter as well. Our UK visa sponsorship letter guide has a separate template for sponsors, and the same structure works for most countries.

How to explain tricky points honestly

Good explanations are short, factual and backed by a document.

  • Large deposit: "The deposit of PKR [amount] on [date] is the sale proceeds of [asset], shown in the enclosed sale deed." Never move borrowed money into your account to make a balance look bigger. Unexplained deposits are one of the most common concerns in the refusal letters we review.
  • Recent job change: "I joined [new employer] in [month] after [years] at [previous employer]; both letters are enclosed."
  • Previous refusal: "My [country] visa was refused on [date] because [reason in the letter]. Since then, [what changed], shown in [document]."
  • Self-employed with irregular income: "My income comes from [source]. The enclosed FBR returns and business statements show [period]."

Cover letter, invitation letter or sponsorship letter?

Letter Written by Main job
Cover letter The applicant Explains the trip, funding, ties and any unusual points
Invitation letter The host (person, company or event organiser) Confirms the invitation, purpose, dates and accommodation
Sponsorship letter The person or company paying Confirms what they will pay for and points to their financial evidence
Employer's letter Your employer Confirms job, salary, length of employment and approved leave

On the EU list for Pakistan, the employer's letter is a listed document. Applicants often spend more time on their own cover letter than on getting the employer's letter right. Get the employer's letter right first.

Common mistakes

  1. Using a template unchanged. Visa officers see the same internet templates every week.
  2. Long, emotional letters. Facts, dates and documents are what count.
  3. Dates that don't match the form, the bookings or the employer's leave letter.
  4. Claims without documents. If you mention property, attach the papers.
  5. Hiding a previous refusal. Declare it on the form and address it honestly.
  6. Describing work as a visit, such as "helping at my brother's shop", which can turn a visit into prohibited work.
  7. Writing the letter after everything else is lost: it should be the last document you finalise, once you know exactly what the file contains.

Requirements are correct as of October 2026. Always confirm the latest checklist on the official embassy or visa centre website before applying.

Frequently asked questions

Should the cover letter be written by me or by my agent?

It should be written in your name and reflect your real circumstances, even if someone helps you with the English. A consultant can check it for gaps and consistency, but the content must be yours. At an interview or border check you may be asked about anything in it.

Can I write my cover letter in Urdu?

Write it in English or in the language the embassy accepts. The UK, for example, asks for full certified translations of documents not in English or Welsh. A letter you write yourself in English is simpler than a translated one.

Does a cover letter need to be signed and on stamp paper?

Sign and date it. Stamp paper and attestation are not needed and add nothing. UKVI even lists notarial certificates among the less useful types of evidence.

How long should a visit visa cover letter be?

One page is usually enough, and two at the most if you need to explain a previous refusal or an unusual situation. Caseworkers read many files, so short paragraphs with specific facts and dates work better than long, emotional writing.

Should I mention a previous visa refusal in my cover letter?

Yes, briefly, if it is relevant. You must declare refusals on the application form anyway. The letter is a good place to say what has changed since then and which new documents address the earlier concern.

Is a cover letter the same as an invitation letter?

No. A cover letter comes from you, the applicant. An invitation or sponsorship letter comes from the person or company you are visiting. Both can be in the same file, and they must tell the same story.
